How it works

One job, start to finish, without anyone copying and pasting.

A lot of everyday work follows the same pattern: something arrives, someone reads it, re-types it, passes it on and remembers to chase. Here is what that looks like once the routine steps run themselves.

Illustrative workflow

New enquiry

  1. 01

    Enquiry arrives

A web form, an email or a missed-call message comes in, at any hour.

    Trigger
  2. 02

    Details captured

Name, job type, postcode and urgency are read and put into one clean record.

    AI-assisted
  3. 03

    Sorted and routed

The right person is notified. Urgent enquiries are flagged, not buried.

    Automated
  4. 04

    Reply drafted

A reply with next steps is written and waits for a quick check before it goes.

    Person approves
  5. 05

    Logged and followed up

Your CRM is updated and a reminder is set in case nobody replies.

    Automated

Quote follow-up

  1. 01

    Quote sent

You send the quote as you normally would. Nothing changes for you here.

    Trigger
  2. 02

    Clock starts

The quote is tracked from the moment it leaves, with no diary note needed.

    Automated
  3. 03

    Nudge drafted

After the gap you choose, a polite follow-up is written in your tone of voice.

    AI-assisted
  4. 04

    You stay in charge

Approve, edit or skip. If the customer replies first, the chasing stops.

    Person approves
  5. 05

    Pipeline updated

Won, lost or still open: the status is recorded without anyone typing it in.

    Automated

Document intake

  1. 01

    Document received

An invoice, form or signed agreement arrives by email or upload.

    Trigger
  2. 02

    Read and extracted

The key details are pulled out: who it is from, dates, amounts, references.

    AI-assisted
  3. 03

    Checked

Details are compared with your rules. Anything unusual goes to a person.

    Person reviews exceptions
  4. 04

    Named and filed

The file is renamed consistently and saved in the right folder.

    Automated
  5. 05

    Entered once

The details go into the system that needs them. No re-keying.

    Automated

Illustrative only. These are simplified examples of the kind of workflow we build, not a record of a delivered project. Every build is shaped around your own tools and rules.

Services

Four ways we put AI to work in your business.

You do not need all four. Most projects start with one clearly defined problem and grow from there.

01

Workflow automation

The routine steps between “something came in” and “it’s dealt with” run on their own: capturing details, updating records, sending the next message, setting the reminder.

  • Enquiry and lead handling
  • Quote, invoice and payment follow-ups
  • Onboarding and recurring admin

02

AI assistants

Assistants that draft replies, answer common questions and summarise long threads, working from your own information and kept inside limits you set.

  • First-response and enquiry assistants
  • Internal “where do I find…” helpers
  • Drafting and summarising

03

Tool integrations

Your email, CRM, accounts, calendar and spreadsheets pass information to each other, so nobody has to be the link between them.

  • Two-way syncing between systems
  • One source of truth for customer details
  • Alerts where your team already works

04

Custom internal tools

When off-the-shelf software does not fit, we build the simple dashboard, tracker or portal your team actually needs, connected to the data you already have.

  • Live dashboards in place of manual reports
  • Job, order and request trackers
  • Approval screens and staff portals

Reporting

The problemManual reports take time and quickly become outdated.

An illustrative solutionBring current figures into one dashboard and highlight what has changed.

The intended benefitCurrent information. Less time building reports.

Process

Small steps. Working software. No big-bang rollout.

  1. 01

    Discover

We start with the business problem: how the work gets done today, where it slows down, and which improvements are worth making first.

  2. 02

    Build

We design and build the first system in small, testable pieces, and you see it working early with realistic examples.

  3. 03

    Integrate

We connect it to the tools your team already uses, with clear handovers and a person in the loop wherever judgement matters.

  4. 04

    Improve

Once it is in daily use, we review how it performs, refine it and support your team as the business changes.

FAQ

Fair questions, straight answers.

Something we have not covered? Ask us directly.

What kinds of business do you work with?

We work across sectors. What matters is the problem, not the industry: where work depends on information moving between people, documents and systems, there is usually something practical to improve. If we do not think AI or automation is the right answer, we will say so.

Do we need to replace the software we already use?

Usually not. The aim is to build around the tools you already have and connect them. If something is holding you back we will say so, but replacing systems is not the starting point.

We are not a technical business. Is that a problem?

No. You know how your business runs, and that is the part we need from you. We handle the technical side and explain it in plain English.

What happens if the AI gets something wrong?

AI makes mistakes, so we design for that. Wherever judgement matters, such as replies to customers, money or anything sensitive, a person reviews and approves before anything goes out. Routine, low-risk steps are the ones that run on their own.

Is this about replacing our staff?

No. It is about supporting your team: taking the copying, chasing and re-typing off their plates and giving them better information to work with, so their time goes on customers and on the work that needs a person.

What about our data and our customers’ data?

Before we build anything, we agree what data is involved, where it will be processed and who can see it. We only connect what the job needs, and we raise anything that needs a closer look from a data protection point of view.

How long does a project take, and what does it cost?

It depends on the job, so we will not guess on a web page. After the first conversation we set out the scope, timescale and cost in writing, before any build work starts.

What happens after it is built?

We stay involved. Once a system is in daily use we review how it is performing, make adjustments and develop it further as your needs change. The scope of that ongoing support is agreed with you up front.

What is a sensible first project?

One clearly defined problem that comes up often and has an obvious owner, such as how new enquiries are handled or how a regular report is produced. Starting small shows what works before you commit to more.
